Privacy policy

Wohlers Aerospace Medicine is bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, which apply to us regardless of the size of the practice because we provide a health service. This policy covers what we collect, why, who we give it to, and what you can do about it.
What we collect
Contact and identity details — your name, date of birth, address, phone number, email, and identifiers relevant to the assessment such as your Aviation Reference Number or your employer and role.
Health information — your medical history, medications, examination findings, and the results of tests such as vision, hearing, lung function, ECG and pathology.
Correspondence — anything you send us by email or through a form on this site, and records of appointments and communications.
Why we collect it
To carry out the assessment you have attended for, to form and record a clinical opinion, to meet the requirements of the body that regulates or requires that assessment, and to manage the practice — appointments, billing and record keeping.
Who we disclose it to
These assessments are usually requested by someone other than you, and the outcome goes to them. Worth knowing before you attend rather than after.
Depending on the assessment, we may disclose information to:
- the Civil Aviation Safety Authority, for aviation medical certification;
- the rail transport operator or employer who required a rail safety worker health assessment, and to the National Rail Worker registers where applicable;
- an employer, insurer, or their representative, where they have commissioned a fitness-for-duty, pre-employment or return-to-work assessment;
- other treating practitioners, where that is necessary for your care and you have agreed;
- anyone else where the law requires or permits it.
What goes across is the outcome and the information relevant to it — not your entire medical history. If you are unsure what will be sent and to whom, ask before the assessment.
Storage and security
Records are held in secure clinical systems with access limited to those who need it. Where a service provider stores or processes information on our behalf, we take reasonable steps to ensure they handle it consistently with this policy.
Health records are retained for the minimum periods required by law, and disposed of securely afterwards.
Access and correction
You can ask for a copy of the personal information we hold about you, and you can ask us to correct it if it is wrong. Contact us using the details below. We will need to verify who you are, and in limited circumstances the law allows access to be refused — if that happens you will be told why.
This website
If you send an enquiry through this site, we receive the details you provide and use them to respond to you. We do not sell personal information, and we do not use it for marketing you have not asked for.
Complaints
If you think your privacy has been mishandled, tell us first — it is usually quicker to fix directly. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
